The right candidate will be reliable, hard-working, and able to handle a variety of tasks simultaneously while also delivering exceptional service to visitors and Day One team members. This position is full time and is only available in New York City.

Responsibilities

  • Welcoming guests by warmly greeting them when they arrive and promptly notifying the appropriate team member

  • Maintaining professional and courteous relationships with guests, executive team, colleagues and vendors ensuring an exception level of customer service is always provided

  • Assist Director of Operations with tech maintenance issue remediation, troubleshooting issues with appliances, office equipment, tech equipment, escalating appropriate building contact or vendor

  • Order and maintain supplies for the office and employees as needed

  • Point of contact for receivables and shipping ensuring all packages are logged and accounted for, labels are created for outgoing shipments, etc.

  • Manage all external client meetings including but not limited to ordering catering, setup, breakdown, and clean up of conference rooms

  • Assist in and coordinate compliance of current processes and procedures (ie. COVID-19 protocols)

  • Ensure staff is aware and trained on all office tools, including AV equipment partnering with our Tech Support team

  • Properly open and close the office daily including charging tech and cleanup of available conference rooms

  • Contribute to annual budgeting of office snacks, supplies, and office events

  • Work together with Director of Operations to streamline and standardize office procedures

  • Assist in planning and executing Day One Agency internal events including but not limited to office events, company outings, happy hours, and offsites

  • Assist with organizing all D1A swag inventory in NYC

  • Work with HR team to onboard new hires including but not limited to: securing IT/tech for new hire, providing Ops Manual and Culture Book, setting up desk and swag, updating calendars and relevant docs, etc

  • Arrange meetings, car service, and travel as needed for Leadership

  • Contribute to ad-hoc projects as needed

Requirements

  • Exceptional customer service skills (retail/hospitality background preferred)

  • Strong organization and project management skills

  • Professionalism, especially in written and oral communication

  • Proficiency with Apple products and G-Suite
